Canvas Cafe – Terms & Conditions
By booking a place at a Canvas Cafe session, workshop or club, you agree to the following terms and conditions.
1. Bookings & Payment
• Full payment is required to secure a place.
• Places are allocated on a first-come, first-served basis.
• A booking is not confirmed until payment has been received.
2. Cancellations & Refunds
• Cancellations made more than 48 hours before the session may be eligible for a transfer or refund at the discretion of Canvas Cafe.
• No refunds will be given for cancellations made within 48 hours of the session.
• Refunds cannot be guaranteed for missed sessions due to illness, holidays or other personal circumstances.
• If Canvas Cafe cancels a session, a full refund or alternative session will be offered.
3. Minimum Numbers & Session Changes
• Canvas Cafe reserves the right to cancel, reschedule or combine sessions if minimum participant numbers are not met.
• In exceptional circumstances beyond our control, including severe weather, venue issues or illness, sessions may be cancelled or rescheduled. A refund or transfer will be offered where appropriate.
• Canvas Cafe reserves the right to amend activities, projects or advertised content where necessary while maintaining the overall quality and educational value of the session.
4. Medical Information & Emergencies
• Parents/carers must provide accurate medical, allergy and emergency contact information at the time of booking.
• Canvas Cafe must be informed of any changes to medical information or emergency contact details.
• Parents/carers must remain contactable throughout the session using the contact number provided.
• In the event of an emergency, parents/carers authorise Canvas Cafe to seek appropriate medical treatment for their child if they cannot be contacted immediately.
5. Additional Needs & Support
• Parents/carers should disclose any SEND requirements, additional needs, behavioural needs or support requirements at the time of booking.
• Canvas Cafe will make reasonable adjustments wherever possible to support participation.
6. Behaviour Expectations
• All participants are expected to behave respectfully towards staff, other participants, equipment and venue facilities.
• Bullying, aggressive behaviour, deliberate damage or behaviour that places others at risk will not be tolerated.
• Canvas Cafe reserves the right to ask a child to leave a session if their behaviour is unsafe, disruptive or inappropriate.
• No refund will be provided if a participant is removed due to behaviour.
7. Arrival & Collection
• Parents/carers are responsible for ensuring children arrive and are collected on time.
• Only authorised adults may collect children.
• Any changes to collection arrangements must be communicated in advance.
• Children will not be permitted to leave alone unless prior written permission has been provided.
• Parents/carers are expected to collect children promptly at the end of the session.
• Repeated late collection may result in additional charges or refusal of future bookings.
8. Toileting
• Children attending sessions should be independently toilet trained.
• Canvas Cafe staff are unable to provide intimate care.
9. Photography & Marketing
• Photographs and videos may be taken during sessions where consent has been provided during registration.
• Images may be used on Canvas Cafe social media, website, promotional materials and marketing content.
• Children without photography consent will not be intentionally photographed.
10. Food & Allergies
• Canvas Cafe operates as a nut-free environment.
• Food containing nuts must not be brought into sessions.
• Parents/carers remain responsible for ensuring dietary and allergy information provided is accurate.
11. Personal Belongings & Artwork
• Participants bring personal belongings at their own risk.
• Canvas Cafe accepts no responsibility for lost, damaged or stolen items.
• Every effort will be made to ensure artwork is taken home at the end of the session.
• Canvas Cafe cannot accept responsibility for artwork left behind after collection.
• Lost property will be retained for up to four weeks where possible.
12. Safeguarding
• Sessions are delivered by a fully qualified teacher holding an enhanced DBS certificate.
• The safety and wellbeing of all participants is a priority at all times.
13. Liability
• Reasonable care will be taken to provide a safe and enjoyable environment for all participants.
• Parents/carers remain responsible for ensuring that all information supplied during booking is accurate and up to date.
• Nothing within these terms affects your statutory rights.
